How we collect, use, share, and protect information when you shop, browse, or contact HVAC365. Need help with a privacy request? Email support@hvac365.com or call 1-888-509-3391. This Privacy Policy describes the data practices of HVAC365, operated by 365 Macro LLC (“HVAC365,” “we,” “us,” or “our”), for personal information collected when you visit or interact with www.hvac365.com and related digital properties that link to this policy (collectively, the “Website”), create an account, request a quote, make a purchase, request support, or communicate with us. It covers visitors, customers, and individuals interacting with us on behalf of businesses. This policy provides notice of our practices. Visiting the Website or reading this policy does not, by itself, constitute consent to processing that requires affirmative consent under applicable law. This policy does not describe employment or job-applicant information practices. Separate notices may apply to third-party services you select. We collect information in the categories below. The exact items depend on how you use the Website and the services you choose. Sensitive information: We do not seek health information, biometric identifiers, precise device geolocation, or other sensitive information unrelated to our services. Account credentials, payment-related information, and information in documents you submit may be considered sensitive under applicable law. We use this information as needed for requested services, account security, transactions, and legal compliance. Do not send passwords, full payment-card details, government identification numbers, or unrelated sensitive information through ordinary email, chat, or Website forms. We use personal information only for the purposes described below and as permitted by applicable law: Automated decisions: We do not use personal information to make decisions that produce legal or similarly significant effects solely by automated means. Third-party financing providers make their own decisions under their policies. Our chat and shopping-assistant features may process questions, product interests, and other information you enter to provide responses and customer assistance. Please avoid entering unrelated sensitive information. We do not sell personal information for monetary compensation. We may share information with the categories of recipients below: We also disclose information to manufacturers, distributors, warehouses, carriers, and warranty or protection-plan providers as needed for your order or service request. Website integrations include SureBright and Route for relevant services. Third parties may collect information about your activity over time and across other websites or services through technologies on the Website. Disclosures depend on the service, enabled settings, your interactions, and applicable choices. Links to third-party opt-out tools are provided for convenience; they are not endorsements. We use cookies and similar technologies (e.g., pixels and local storage) to operate the Website, remember preferences, prevent fraud, understand usage, and—where allowed—measure or personalize advertising. Depending on applicable law and your choices, some technologies may operate when you visit without a cookie pop-up. The absence of a pop-up does not waive your privacy rights or replace consent required for particular processing. To request an opt-out of the sale or sharing of personal information or its use for targeted advertising, email support@hvac365.com with the subject “Privacy Opt-Out”, or call 1-888-509-3391. Tell us which choice you want to exercise. Where applicable law requires us to honor your request, we apply it to the relevant processing and disclosures. An opt-out does not prevent necessary processing for checkout, security, order fulfillment, or other permitted purposes. Browser settings: You can block or delete cookies through your browser settings. Blocking essential cookies may affect account access, shopping carts, or checkout. Browser settings alone may not prevent every disclosure, including server-side disclosures. Global Privacy Control (GPC): Where applicable law requires recognition of GPC or another legally recognized opt-out preference signal, we treat the signal as an opt-out of the relevant sale, sharing, or targeted-advertising processing for that browser or device, and apply it to associated information as required by law. You do not need to create an account to exercise a legally protected opt-out. Do Not Track (DNT): DNT is different from GPC. We do not respond to the older DNT signal because there is no consistent industry standard for its implementation. This does not change our obligations concerning legally recognized opt-out preference signals. These third-party tools have their own scope and limitations and do not replace rights or request methods available under this policy. Some preferences apply to a particular browser or device and may need to be repeated after clearing cookies or switching browsers or devices. Opting out of personalized advertising does not mean you will stop seeing advertisements. If you opt in to receive SMS/MMS messages, we may send order updates and, if you choose, promotional messages. Message frequency varies. Standard messaging and data rates may apply. Marketing text-message consent is not a condition of purchase. You can opt out at any time by replying STOP. For help, call 1-888-509-3391 or email support@hvac365.com. Depending on your state of residence, the information involved, and whether a law applies to our business, you may have the rights described below. You can contact us about your information and privacy choices at any time. How to submit a request: Email support@hvac365.com or call 1-888-509-3391. Describe your request and provide enough information to locate relevant records. Do not include passwords or full payment-card numbers. You may also review or update available account information through your account. We may verify your identity for access, correction, deletion, or similar requests using reasonably necessary information. We do not require identity verification or account creation for an opt-out where prohibited by law, although we may request information needed to identify relevant records. Authorized agents may submit requests subject to applicable authorization requirements. We respond within applicable legal deadlines and explain permitted extensions or denials. For California requests governed by the CCPA, access, deletion, and correction requests generally receive a response within 45 calendar days, subject to permitted extensions; sale/sharing opt-outs are processed as soon as feasible and within 15 business days. Appeals: If we deny a request and applicable law provides an appeal right, email support@hvac365.com with the subject “Privacy Request Appeal” and identify the original request. We review the appeal and respond within the applicable deadline. Where required, our response explains how to contact the relevant regulator. California residents: Where the CCPA applies to our business and your information, it provides rights to know and access, delete, correct, opt out of sale or sharing, limit certain sensitive-information uses, and receive nondiscriminatory treatment. Categories, sources, purposes, recipients, advertising disclosures, and retention criteria are described in Sections 2–6 and 10. Applicable rights do not depend on purchasing a product. This policy does not state that every state privacy statute applies to HVAC365. We maintain administrative, technical, and physical safeguards designed to protect personal information. Safeguards may include encryption in transit, access controls, logging/monitoring, and vendor security requirements. No method of transmission or storage is 100% secure. Please use strong passwords, keep your devices secure, and contact us if you believe your account has been compromised. We retain personal information only as long as reasonably necessary for the purposes described in this policy, including to fulfill orders, provide support, maintain business records, comply with legal obligations, resolve disputes, and enforce agreements. When information is no longer needed, we take steps to delete it, de-identify it, or aggregate it, unless retention is required by law or for legitimate business needs (e.g., accounting, tax, warranty tracking, fraud prevention). We may update this Privacy Policy as our services, practices, or legal obligations change. We post the revised policy here and update the “Last Updated” date. For material changes, we provide additional notice or obtain consent when required by applicable law. Email support@hvac365.com or call 1-888-509-3391.
